We collect what the delivery and its paperwork need. We do not sell personal information.

• Names, company names, addresses, email addresses and phone numbers for the sender and receiver. The delivery company needs them to collect and deliver the parcel.
• A description of the goods, what they are made of, what they are for, where they were made, their weight, their size and their value. Customs authorities need these facts when a parcel crosses a border.
• Tax or identity numbers when the destination requires them for customs.
• Your email address when you sign in with a one-time code, so we can show you your own deliveries.
• A payment reference and the amount. Card details are entered with our payment service and are not stored by KALM.
• A basic technical record of a request, used to keep the service available and prevent abuse.
• Anonymous analytics and advertising identifiers only after you choose to allow analytics and advertising cookies.

Business outreach. We sometimes email UK companies about KALM using a business address that the company publishes itself, such as on its website. We do this because we have a legitimate interest in telling businesses about a service relevant to how they ship. We do not email sole traders or personal addresses this way, and we never buy contact lists. If you would rather not hear from us, reply "unsubscribe" to any email or write to hello@kalmshipping.com, and we will not contact you again.

If a parcel is coming to you, or being collected from you, the person who arranged the delivery usually gave us your name and contact details.

We use them to collect, carry, clear and deliver that parcel. We do not treat this as consent from you. We use the lawful basis that the information is needed to carry out the delivery and to protect the legitimate interests of the people involved.

You can ask what we hold, ask us to correct it, object to its use, or ask us to remove anything the law does not require us to keep. We explain this when we first contact you, whether or not you have an account.

We share the smallest useful part with the service that needs it. Nobody receives your information simply because it is available.

• The delivery service carrying the parcel. It receives the collection, delivery and customs facts needed for its part.
• Customs authorities in the countries the parcel passes through, in the documents required by law.
• The payment service that handles card payment and payment references.
• The email service that sends KALM sign-in codes, confirmations, updates and documents.
• The hosting and commerce services that run the public KALM website and the KALM service.
• Analytics and advertising services, only when you have allowed analytics and advertising cookies.
• A person you name on the booking, such as a receiver or someone helping supply a missing customs fact. They receive only what their part requires.

A delivery between countries needs some information to cross a border with the parcel. The sender, receiver, delivery company and customs authorities receive the facts their part of the journey requires.

For a delivery involving the United Kingdom or the European Union, the transfer is needed to arrange and perform the delivery. For a South African delivery, it is needed to carry out the delivery and arrange it with the delivery company.

For a South African delivery, OLIVER'S CRAFT LTD is the responsible party under the Protection of Personal Information Act. The delivery services handling the route act on our instructions for that delivery.

Delivery and customs records for a South African delivery are kept for seven years because South African tax and customs rules require them. Other information follows the periods below.

You can complain to the Information Regulator in South Africa if you are unhappy with how your information was handled.

Our retention process applies these periods. Keeping a record is different from keeping every personal detail inside it.

• Your delivery record, its documents and its customs declarations: seven years.
• The content of a delivery company message about your parcel: ninety days. The delivery history and tracking milestones remain available after that.
• Identity documents and bank details sent for a claim: one year, then they are removed automatically.
• Sign-in sessions: ninety days after they expire.
• An unfinished quote that was never booked: the address and contact details are removed after thirty days.
• Saved addresses, saved contacts and account details: kept for the service and removed when you ask, unless a specific record must stay to meet a legal obligation.

Email hello@kalmshipping.com and tell us what you need. You can ask for a copy of your information, a correction, deletion of information we are not legally required to keep, or for us to stop using it for anything beyond the delivery you booked.

A deletion request covers every delivery where you are a sender, receiver or booker, not only the one you mention.

After a deletion runs, the system checks the records again. If any part of that check cannot be completed, we report the request as incomplete and tell you what remains.

We answer within one month, which is the time limit set by United Kingdom and South African privacy law.

Tell us first so we can put things right. You can also complain to the Information Commissioner’s Office in the United Kingdom, or to the Information Regulator in South Africa when South African law applies.

This is version 0.2, published 1 August 2026. When something material changes, we publish a new version with a new date and tell you if the change affects a delivery you have already booked.
